When to merge — and when not to
Merge if the application has one upload field for 'Resume' or 'Application' and the instructions say to include a cover letter. Don't merge if there are separate upload fields for resume and cover letter — keep them separate. When in doubt, separate is safer.
The right order
- Cover letter first (page 1) — recruiters see it first when they open the PDF
- Resume second (pages 2–3) — the meat of your application
- References / supporting docs last — only if requested
Some senior-role recruiters prefer resume first since they skim resumes more aggressively. Use your judgment based on the role.
ATS compatibility
Modern ATS (Workday, Greenhouse, Lever, Taleo) parse multi-page merged PDFs correctly as long as text stays as text — not images. Don't worry about merging breaking parsing; it doesn't.
File size
- Most resume + cover letter PDFs are under 1 MB
- Most job ATS portals cap at 5 MB
- If your merged file exceeds 5 MB, you have a high-res photo or large image — compress before uploading
Filename matters
Use 'FirstName_LastName_Resume.pdf' or 'FirstName_LastName_Application.pdf'. Avoid spaces (some systems mangle them) and skip 'final', 'v2', 'updated', which look unprofessional. Many recruiters search their inbox by filename — yours should be searchable.
